Other FormsHolding an Event Information:Any organized event on Port Property or on, below or above the water within Port Limits must be approved by the Nanaimo Port Authority. The Nanaimo Port Authority may choose to monitor any event on the water for safety or navigational reasons, especially when the event disrupts or may disrupt normal Port operations, this service is provided free of charge and event coordinators will be expected to comply with any directions given to them by Port Authority Staff. Examples of events on, below or above the water which require Port Authority approval are, but not limited to, Bathtub Races, Silly Boat Regatta, Yacht Races, Dragon Boat Races, Kayak or Outrigger Canoe Races, Fireworks Displays, Swimming Contests, Demonstrations, Air Shows and Water-skiing Contests. Examples of events on Port Property that require Port Authority approval are, but not limited to, Weddings, Receptions, Markets, Car Shows, Swap Meets, Boat Shows, Festivals and Live Music, walkathons/running events along the Harbourside Walkway. Some events may require additional approvals ie: City, Bylaws, Fire Department, RCMP, etc. You should enquire with each to ensure that you have the necessary approvals in place to hold your event. Event Approval Process:Submit the appropriate application form and any fee required at least 60 days prior to the event. Submit a copy of the Commercial General Liability Insurance document showing the appropriate insurance coverage at least 30 days prior to the event. The insurance document must include “Nanaimo Port Authority, its employees and its agents as additional named insured with respect to the event”. Submit any/all other approvals at least 30 days prior to the event. NB: Unless the individual event runs over consecutive dates ie: 12th, 13th & 14th, a separate application for each event must be submitted. If you intend to supply, distribute or sell alcoholic beverages at the event you may need to apply for a permit from the City. If you intend to have alcoholic beverages at your event you may need to speak with your insurers for additional coverage. We do not encourage the consumption of alcohol on or near the water.
Rental Facilities:CIB Customs Float The concrete float is designed with a single access ramp, railings/chains around the perimeter and life-rings with lines.The float can accommodate up to 100 persons; tents/awnings may be erected on the float (with Port Authority approval). The float is located behind a locked gate for additional security but can be moved to another location if requested. There would be an additional cost for relocating the float. There are no services on the float. The float can be used for events such as, but not limited to, Weddings, Receptions, Viewing Fireworks Displays and Viewing Races or other events. CIB Marina Building Observation Deck:The observation deck is above our main Wharfinger Office. The main area can accommodate about 150 persons with an additional area behind the upper washrooms which can accommodate a further 75 persons if required. Stairs must be used to gain access to the observation deck or rear deck, there is no elevator. There are power outlets available on the rear deck. The Observation Deck can be used for events such as, but not limited to, Weddings, Receptions and Viewing Fireworks Displays. W.E. Mills Landing:The W.E. Mills Landing measures 600 ft x 30 ft and can accommodate several hundred persons. Tents/awnings may be erected on the Pier (with Port Authority approval). Due to its exposed location, if tents are required please ensure that there are sufficient leg anchor weights. A clear fire lane must be maintained along the length of the W.E. Mills Landing in case of emergency. Power, lighting and water is available on the pier. There is access for vehicles not exceeding 9 tonnes in weight (with Port Authority approval). The W.E. Pioneer Waterfront Plaza (PWP):The Plaza can accommodate several hundred people. Power outlets are available. Vehicle access is available (with Port Authority approval). Tents/awnings may be erected on the Plaza (with Port Authority approval). Examples of events on the Plaza include, but are not limited to, Weddings, Receptions, Markets, Car Shows, Swap Meets, Festivals and Live Music.
CIB Harbourside Walkway:The walkway can accommodate a large number of 10 ft x 10 ft booths. Some power outlets are available near the Wharfinger Office. Examples of events on the walkway include Markets, Swap Meets and Shows, Walkathons/Running Events.
Other Port Property:The Nanaimo Port Authority owns other waterfront property which can be made available for events such as Concerts, Festivals, Race Meetings, Swap Meets, Shows, Markets and Receptions.
